Meet Matt, Our Graduate Trainee!


Meet Matt!  He's a graduate trainee here in Fountains.  He has decided to stick with us after his three years as a student at York St. John.  He has control of twitter until the 4 January.  To follow his tweets, look for ^MT.  

After being a student of Product Design at St John for the last three years, I’ve moved across Fountains and into the office to become ILS’ latest graduate intern. If you haven’t seen me dashing to and fro across the library, you’ll have definitely seen me advertising the university on a massive billboard at the train station.
While I’ve been here, it’s been my job to develop a little something called SMILE. I can’t say much about what that is right now… but you’ll find out much more in the New Year. For now, all I’m going to say is that it might pay to keep your eyes peeled. (Honestly, that’s the least subtle hint you’ll hear this side of Christmas.)
Other than SMILE, I work on a whole raft of ILS-themed bits and pieces – mostly design for web and print. I’m not a librarian, so please don’t ask me about books, it won’t end well for any of us. But while I’m in control of the ILS Twitter, I want to actually hear from a few of you! Ask me anything about anything.

Hello!

My job role is “systems specialist” within ILS

I primarily work in the network team administering the network infrastructure. This includes implementing new solutions, resolve any issues that may arise, identify and recommend any possible improvements.

I am Currently working on a new campus wide wireless network, this will be followed by the launch of Eduroam. I’m also working on the IPv6 deployment which is in its very early stages.

I also second desktop team with the virtual server and desktop infrastructure to provide additional support when required.

Inter-library Loans and Christmas Closure

If you are planning to use the inter-library loan service for your dissertation, you may want to consider how the Christmas Closure dates affect your study plans.  Due to the time it takes for us to request and receive books through inter-library loans, we will not be processing any other inter-library loan book requests after 13 DECEMBER.  This will hopefully allow students to collect any books they have requested before Christmas.  We want to avoid having books sat in the library over the holidays and ensure that students and staff have the most time possible with items borrowed from other libraries.

Any inter-library loan book requests received after the 13 December will be processed again starting on the 2 January.  Journal requests we will continue to process as normal.  Most journal articles we can receive as photocopies that do not need to be returned.  If you have any further questions, please do not hesitate to contact the Inter-library loans team at interlibrary@yorksj.ac.uk.

Maintenance will affect reading lists and some eJournals this weekend

OCLC have informed us that the will be carrying out maintenance on their systems this weekend. This will affect access to online reading lists and access to two electronic article databases (FirstSearch and ECO).

The maintenance is scheduled between 8am and 1pm (UK time) on Sunday 18th November. The services may be down for some or all of this time.

EBSCOhost planned maintenance 12pm 26th October

Please be aware that parts of the EBSCOhost service, which provides some of our e-books and e-journals at York St. John University, will experience some disruptions during planned maintenance occurring around 12pm on the 26 October 2012 for about an hour.  Parts of the service will still be available but those areas likely to experience severe disruption are:  

  • Personal User Authentication
  • Checkout and Download of eBooks
  • Alerts
  • Access to My EBSCOhost folder items or the ability to save items to personalized folders from session
If you experience problems with electronic resources around 12pm on the 26 October 2012, please check first that it is not an EBSCOhost resource before reporting the issue.

Science Direct Downtime

One of our major e-journal providers will be down over the bank holiday weekend to implement new upgrades that will improve their service.  The downtime will affect SciVerse products, which include Science Direct journal articles.  The outage is schedule from 12pm on  Saturday, 25 August 2012 until around 8am on Sunday, 26 August, 2012.   If you attempt to access an article in an e-journal during this downtime, you will receive an error message and we ask that you do not report this unless it is outside the downtime hours.  If you access a Science Direct provided journal after the downtime, you may notice several changes to the layout.  Academic Liaison Librarians will be available from Tuesday to guide you through the new layout should you need assistance.

Reminder: Summer Hours

Just a reminder to all YSJ library users out there that we are currently on our vacation hours until September.    Please make sure you check opening hours before coming in.  For those who need to return items, locked book boxes are available near the library entrance.  

Normal (28-day) loan items are now being issued or renewed until September. However, loan periods for 7-day items are not changing, so you will need to renew them online or by phone if you're going to be away. Be aware, though, that you may not be able to renew an item if another user has placed a hold on it. Library system downtime Tuesday 24 July


Due to essential maintenance, our library system will be unavailable for most of the day on Tuesday 24 July.

During this downtime, the following services wil not be available:

·         online holds and renewals
·         up-to-date availability and location information for items
·         self-service machines
·         access to library account information

Items will be able to be taken out, returned or renewed at the QuestionPoint on the ground floor of Fountains Learning Centre, and you will still be able to search our WorldCat online catalogue (http://yorksj.worldcat.org/). Most eBooks and online journal articles should also still be accessible.

Downtime affecting all ICT services 28-9 July

Following consultation with Deans and Heads of Departments there will be a period of scheduled downtime of all ICT Services on Saturday 28 & Sunday 29 July 2012.

During this period the ICT team will be performing essential maintenance work on IT systems, which will involve the entire IT system being unavailable. This includes logging on to any PC on site or via the virtual desktop, access to the internet via the wireless network on site, plus email and web access both on site and remotely. A temporary webpage has been arranged so that anybody visiting the YSJ website will be redirected and advised of the downtime and alternative ways to contact us.

We anticipate that all work will be completed and normal services resumed by Monday 30th July.

Summer opening hours

We will be changing over to vacation opening hours from Saturday 14 July. Please remember to renew your items if you are going away.

Mobile technologies in libraries

On Tuesday 8th May I attended the Mobile Technology in Libraries event hosted by Evidence Base (Birmingham City University). This information sharing event was part of the JISC m-libraries project aimed at supporting "the emerging m-Library community".

The opening keynote was delivered by James Clay, and focused on the rapid spread of mobile technology over the past few years. Although "only" 45% of UK adults accessed the web via a mobile phone in 2011, the figure rose to 71% for 16-24 year olds, and 50% of all web searches are performed on a digital device. However, the common assumption that younger people today are "digital natives" is open to question - just because someone can use technology (for some purposes), it doesn't mean they are able to use it effectively for learning.

Clay suggested that we should be informed but not led by learners. Often, if users are asked what they want, they will tell you more of the same, just a little better - they may not have an appreciation of the new opportunities technology can bring, and won't always know what they want until they are shown it. As always, in any new developments we will be constrained by the limitations of time and money, and staff will need appropriate training and support. There will be the need to consider priorities and make sure we can give a good answer to the question "why?" before embarking on a new venture.

The keynote was followed by four lightning talks. First, Helga Perry from University Hospitals Coventry and Warwickshire spoke on the steps required to get Elsevier's Science Direct mobile app working with Athens and Shibboleth authentication. Next, Alison McNab from De Montfort University addressed the barriers to accessing subscription eContent on mobile devices. The solution offered by many publishers is to provide an app. However, these are device-specific, and are often not available for Blackberries (used by a "surprising number" of new students).

Next, Matt Borg from Sheffield Hallam University spoke on the work that they've been doing to develop a mobile library gateway. A major part of developing this was an evaluation and rationalisation of their existing content. He emphasised that "there is no fold" - a design has to be flexible to accommodate the range of devices and screen sizes that will be used to view it. In analysing statistics, they found a significant increase in the proportion of mobile devices used to view their website from 2010 to 2011. The final lightning talk of the morning was on using SirsiDynix's BookMyne app to deliver a mobile library catalogue, from Tim Fletcher at Birkbeck.

Matt Machell's session on Building mobile-friendly sites with responsive design outlined a way to build sites that offer a good user experience across a range of devices. Responsive web design uses a flexible grid that scales as the browser window is resized. Developing a single flexibile site removes the additional work involved in keeping mobile and desktop sites in sync, and the poor user experience offered by mobile sites on larger screens. It also avoids the increasing fragmentation resulting from the development of apps targetting particular devices. The downsides of responsive design include that it is hard to retrofit on an existing site. Also, as with all mobile websites, they don't give access to functions of mobile devices such as GPS and the camera. However, it is possible to wrap a mobile site in an app (such as PhoneGap) to give access to these, and get a bit of the benefit of both approaches.

Following Lunch, there was a further session of lightning talks. Peter Kargbo, Law Librarian at Manchester Metropolitan Uni spoke on using apps for legal research. Next, Sarah Barker from Yale College reported on a project they have run to loan iPads for use within the library. The iPads they supply are pre-loaded with a range of apps that have been recommended by faculties. Maintenance of the pads has proved to be quite labour-intensive, however, as there is frequently the need to restore deleted apps, or log users out of various services when the pads are returned. Gary Green from Surrey County Council presented on a range of (non-mobile enabled) projects they are running, with the aim of crowdsourcing ideas for how to incorporate mobile technology into these. The final lightning talk of the afternoon was by Adam Watson from Leeds Metropolitan on "Students' mobile preferences: are our services meeting their needs?". Leeds Metropolitan have been reviewing their current provision, and what "competitors" are doing in mobile access, and are aiming to create a mobile library site based on Wordpress.

Then afternoon breakout session I attended was presented by Keren Mills of the Open University, on resource discovery on mobile devices. As part of the MACON project, they have been working on creating their own mobile discovery interface, using the EBSCO discovery API, rather than using the ready-provided mobile interface. This allows them to better integrate discovery with their other content. She spoke on the differing expectations of librarians and users - the advanced functionality in search interfaces expected by librarians, is little-used by most users who tend to prefer a simple, Google-like interface. She also spoke about usability of various document formats on mobile devices (the ubiquitous PDF tends to be particularly poor, plain text and HTML much better), and summarised some good-practice points for mobile design:
  • Know your audience
  • Leave space around buttons and links
  • Reduce typing and clicks
  • Reduce download sizes
  • Include a search option
  • Make authentication easy
The final session summed up the m-libraries project so far, and sought views on how to proceed. One of the most important themes of the day was that mobile is not a bolt-on extra. In both Matt Machell's and Keren Mills' sessions, a "mobile-first" approach was advocated for any redesign of a library's web presence. This can lead to improved usability for the majority of users, and also better accessibility (as criteria for a good mobile web experience tend to be quite close to those for accessibility). It was emphasised that there is a wealth of experience developing in the use of mobile technology in libraries, and that we should be seeking to draw on this experience rather than constantly re-inventing the wheel.

End of 24-hour opening trial

We are coming to the end of the trial of 24 hour opening of the library, on 19th May. Thank you for all your feedback - we will evaluate this and the usage figures, and decide whether extended opening should be implemented permanently from September.

The second and third floors will be open overnight on Friday 18th, and we will return to normal overnight service as of Saturday.

Please respect others using the library

We are aware of the disturbances that took place on bank holiday Monday.  It would appear that there is a small minority of students who are using the library for purposes other than study. We are working with Security and the Student Union to try ensure this type of behaviour does not happen again.  We do take this very seriously and are taking disciplinary action for those who continue to ignore the rules within the library or behave inappropriately.

IT suites closing at night.

From Tuesday 8th May the IT suites in Fountains will be closed from 9.30pm each night.

As the library is now opening 24/7, there are sufficient open access PCs. This is to ensure better security for those students working late at night in the open access areas.

Food and drink in Fountains

Hot and cold food may be eaten on the ground floor of the learning centre. Please only take drinks and sweets onto the other floors.

We have made this change in response to feedback. Some of you have told us you wanted to be able to bring hot food into the library again, but others have said that this didn't make the learning centre a good place to work. By compromising, and making the first and second floors food-free areas, we hope we can meet the needs of all users.

If you are eating or drinking in the learning centre, please clear up afterwards. If you have any questions or feedback, please add a comment, contact us, or speak to staff at the QuestionPoint.

Interruption to self service tonight

Pilot of 24-hour opening

The whole library is now open 24 hour a day. This is currently a trial, running until 18 May.

You will be able to access the whole of the main collection of books, DVDs and audio recordings 24 hours a day, and be able to take items out as usual, using the self-issue machines. You will also be able to use the computers on the 1st and 2nd floor.

The 2nd floor will remain reserved for quiet study, and normal restrictions on food will apply (i.e. no hot food). Library and I.T. staff will not be available out-of-hours, but security staff will be on duty.

Interruption to self-service, Tuesday night

Our library system will be down for approx. 1 hour from 11pm on Tuesday 28th Feb, for essential maintenance.

Due to the time this work is taking place, the only services that will be affected are the self-service machines and the online catalogue. You will not be able to return or renew items during this period, and you will also not be able to place holds or get availability information.

We expect that all services will come back online following the maintenance. Occasionally, however, the self-service machines need to be restarted - if this is the case, we will restart them in the morning.

We've simplified the catalogue search box

We have now removed the Catalogue/Catalogue Plus options from the search form on the library home page, and moved to a single, unified search.

We made this decision for two reasons. We have had feedback that the purpose of these options isn't clear to users, and it is potentially causing confusion. Also, the ordering of search results in WorldCat Local has improved to the point where there no longer such a need for the separate search options.

Searching from off-campus will also work in the same way as on-campus searches. We believe that recent improvements mean that there is now little purpose in logging in before running the search, as users will be taken to a log-in box when trying to access any resources that need authentication. Please do let us know if you encounter any problems arising from this, though.

We will make the change on Wednesday afternoon. We do not expect any disruption to service.

Please do not bring hot food into the library

In response to feedback, hot food is no longer allowed in the library or IT areas in Fountains Learning Centre.

It is still OK to bring cold snacks and drinks into the Learning Centre, but please respect others and tidy up after yourself before you leave.

Areas for quiet working in the Library

Following much feedback on noise in Fountains Learning Centre, the second floor has now been designated as a silent study area.

Please use this area for quiet work and reading, and respect others who are wanting to work in silence. Use another area, if you want to socialise or hold discussions. You can, of course, also use the Quiet Study Room on the first floor for quiet working.

Please let staff at the ground floor Question Point know, if there is too much noise in these areas.
